Be a good host!

In multinational companies or companies with international providers, customers or contractors,
it is common to receive visits for different reasons. Presentations of new products or services,
renew or negotiate new agreements, visit new facilities, attend the inauguration of a new
production line or a new point of sale, etc.

If you are expecting to receive executives or employees on business trip, on time basis,
it might be a good idea to establish an action protocol that must be comply.

Some of the courtesy rules that this protocol should include to be a perfect business host are the
following ones:

Guests

If you are who organizes the visit, you must figure out who are you going to invite in each case
depending on the commercial, institutional or promotional reason. It is not the same to organize a
visit for potential clients than receiving executive authorities. Make a list of guests and send invitations
indicating the date, duration and reason for the visit.

Confirmations

To avoid last-minute surprises or that strategic guests do not attend to the meetings, it is essential to
confirm attendance days before trip the scheduled date. Once having all the confirmations, make the
final list with the information of each guest so, on the day of the visit each visitors can be easily
identified.

Reception

The highest level visits will be received by the highest positions of the company, the second level will
be received by the management positions, and finally, the general ones will be received by the head
of the department involved in the visit or the person in charge of the institutional relations or the
protocol, if applicable.

Working space and logistics

Choose and prepare the working space where the guest will work during the trip.

Check if the necessary  equipment is available.Get the necessary network accesses for all the visitors.
Manage access cards, with the correct required level of access.

If you follow the protocol and take enough time to organise things in advance, I'm sure everything will come out perfectly well and you'll feel more than proud of yourself..
